1. Scope

These Booking Terms & Conditions apply to tour bookings, guided activities, day trips, multi-day programs, transport arrangements and related travel services offered by Svaneti Tours.

They should be read together with any custom itinerary, confirmation email, invoice, waiver or service-specific note provided during the booking process.

2. Booking Requests and Confirmation

A booking request may be submitted by:

  • website form
  • email
  • WhatsApp or other direct messaging
  • direct written agreement

A booking is only confirmed when:

  • the requested services are accepted in writing
  • the client receives confirmation
  • any required deposit or advance payment is received

Until that point, availability is not guaranteed.

3. Deposits and Payment

Unless otherwise agreed in writing:

  • a deposit may be required to hold dates
  • the balance may be due before arrival, on arrival or before the activity starts
  • payment method details will be stated during confirmation

If payment is not made by the agreed deadline, the booking may be cancelled or released.

4. Pricing

Quoted prices may depend on:

  • group size
  • season
  • transport type
  • guide requirements
  • accommodation category
  • route complexity
  • inclusions requested by the client

Unless expressly stated, prices do not automatically include:

  • international flights
  • travel insurance
  • visa costs
  • personal equipment
  • personal expenses
  • optional activities not listed in the confirmed itinerary

5. What May Be Included

Depending on the itinerary, tour pricing may include some or all of the following:

  • guide services
  • guesthouse or hotel accommodation
  • meals
  • private or shared transport
  • airport or regional transfers
  • horse support where agreed
  • local access fees where applicable

The exact inclusions and exclusions must be listed in the final confirmed program.

6. Client Responsibility

Clients are responsible for:

  • providing accurate booking information
  • reviewing itinerary details before confirmation
  • arriving on time for agreed transfers and departures
  • carrying valid passports or required documents
  • disclosing relevant health, fitness or dietary issues
  • ensuring they have suitable clothing and equipment
  • obtaining travel insurance where appropriate

7. Fitness and Ability

Mountain travel and adventure activities vary significantly by difficulty. Clients must choose programs suitable for their:

  • fitness level
  • technical ability
  • riding or hiking experience
  • health condition

Svaneti Tours may refuse participation or modify an activity if a guest’s condition, preparation or behavior makes the activity unsafe or impractical.

8. Weather, Safety and Route Changes

Mountain operations in Svaneti depend on:

  • weather
  • road condition
  • trail condition
  • avalanche risk
  • river level
  • visibility
  • operational safety

For safety reasons, itineraries may be changed, shortened, delayed or cancelled. This may include:

  • changing a hiking route
  • switching from a high route to a lower route
  • replacing a planned day with a cultural or road-based alternative
  • canceling a departure if conditions are unsafe

These changes are part of normal mountain operations and do not automatically create a refund right unless otherwise agreed.

9. Private and Group Formats

Some services are private by default. Others may be private, shared or custom depending on:

  • availability
  • group size
  • route type
  • guide staffing

If a booking is based on a minimum group size and that minimum is not met, an alternative price or revised format may be offered.

10. Client Cancellations

Unless different cancellation terms are agreed in writing, the following default framework may apply:

  • more than 30 days before start: deposit may be refundable minus administrative or payment-processing costs
  • 15-30 days before start: partial refund may apply
  • less than 15 days before start: refund may be limited or unavailable
  • no-show or same-day cancellation: normally non-refundable

Because this is a legal and financial clause, the final cancellation schedule should be confirmed before publication and aligned with actual business policy.

11. Business Cancellations

Svaneti Tours may cancel or reschedule services if necessary due to:

  • dangerous weather
  • road closure
  • guide illness or emergency
  • force majeure
  • minimum participation not being met where relevant

In such cases, the company may offer:

  • a revised date
  • a substitute itinerary
  • credit for future use
  • partial or full refund depending on what costs have already been committed

12. Force Majeure

We are not responsible for failure or delay caused by events outside reasonable control, including:

  • severe weather
  • natural disaster
  • landslide
  • flood
  • war or civil unrest
  • epidemic or pandemic restrictions
  • border closures
  • transport shutdown
  • government action

13. Insurance

Clients are strongly advised to obtain suitable travel insurance. Depending on the trip, insurance should ideally cover:

  • medical treatment
  • emergency evacuation
  • trip interruption
  • cancellation
  • baggage or equipment loss
  • mountain or adventure activity cover where relevant

14. Equipment

Clients are responsible for bringing or renting suitable equipment unless the confirmed itinerary states otherwise. For technical or seasonal activities, this may include:

  • trekking footwear
  • waterproof clothing
  • helmets
  • ski touring equipment
  • avalanche safety gear
  • riding equipment

Unsafe or unsuitable equipment may be grounds for excluding a guest from an activity.

15. Health and Medical Issues

Clients must disclose any condition that may affect safe participation, including:

  • serious injury
  • recent surgery
  • pregnancy where relevant to the activity
  • cardiac or respiratory condition
  • mobility limitations
  • allergy or dietary restrictions

This information should be provided before the trip, not only on arrival.

16. Conduct

We expect guests to behave respectfully toward:

  • guides
  • drivers
  • hosts
  • horses and animals
  • other travelers
  • local communities
  • cultural and religious sites

We may remove a guest from part or all of a trip without refund if their conduct creates risk, disruption or harm.

17. Photography and Marketing Use

If photos or video are taken during a tour, they will not be used for marketing without permission unless:

  • the client has separately agreed
  • the use is clearly covered by a signed consent or release

If you do not want any identifiable media use, notify us in writing.

18. Complaints

If you have a problem during the trip, you should raise it as soon as possible with the guide or company representative so it can be addressed on the spot where possible.

19. Governing Law and Jurisdiction

These Booking Terms & Conditions should be reviewed and finalized with the business’s preferred governing law and jurisdiction before publication.

Until localized, this clause should not be treated as a final legal election.
